We screwed up now what do we do?

We joined Teleflora three years ago and had their POS system put in. Somehow while being trained we either missed the instruction OR we weren't told how to report "phoned in wire orders." We thought that when we printed them out they automatically got sent through the Dove.

However, after reminding the "better half" that does the bookkeeping that he needed to check to make sure that they were all reported, he didn't. Well...$5,000 later he checks and realizes that we were hitting the print button to fax them in NOT the Dove button that automatically goes to TF for credit. Sometimes we hit it lucky and hit the Dove button and some actually got reported...but the other 5 grand didn't.

Teleflora has now informed me that we can't get paid for more than the last 90 days. However, if we reprocess them with today's date OR send a letter to all the other florists and tell them that we are reprocessing them with a future date and let them know the date that the flowers were delivered, we can try to re-process them.

What would you do? Planning a funeral for the "bookkeeper" is not an option...
 
Wow, I'd do what TF says. Maybe if it's not too much trouble, call the sending shops and let them know what happened so you can process them with todays date. And talk to the boss, not just whoever answers the phone. I'm sure they'll understand. I know I would.
 
Just one of the many reasons you should always check your monthly wire service statements!!!!!!!!!

I think you may have a hard time collecting a lot of them, as florists that do not have the Dove system and phone orders in are not likely to want to go through hand written invoices of 2 or 3 years ago........and I'm pretty sure most of them wouldn't have a POS system to look up old order on.

I've had phone calls before asking if it was ok if an order that slid thru the cracks got reported as of today.

Just call all the florists.


Only an asshole would say no.
 
You must reconcile your Incoming portion of the Wire Service Statement every month.

Had you done this, you would have noticed that you were not getting credit.

We've had calls before as well. Mostly it's how you approach it with them but generally they will say yes.
 
Me too... I'd be understanding and accept the expense...

Only an a-hole will say no. You may find a few a-holes, but 5000.00 is alot of cashiole...

I had a similar problem with Dove POS in the beginning. They had never told me about the reporting thing and it was 3 months before I realized i wasn't reporting. Also, in the beginning my system wasn't charging web order creditcards. That was a 5000.00 mess also that had to be done one by one. What a mess. Good luck on those calls...
 
Good luck to you on this. I do sincerely hope that all of the florists involved will do the honest thing.

This same thing happened to a local florist, but if memory serves me correctly, the unclaimed amount was more like $15,000. They did exactly what TF suggested, calling the sending florists. Unfortunately, a florist in a nearby town refused to pay the $3000 that he owed, and he bragged about it all over town. I hope you do not encounter such a one as he.

That really sucks, I hope you're able to claim the money that's rightfully yours. Since you didn't reconcile, you may have other credits in all those statements as well. There always seem to be duplicate order claims, incorrect phone order claims, and unwarranted cancellation claims.

I think most florists will reluctantly agree, but agree nonetheless to give you credit. Good luck!

Your biggest problem will be all the florists that have dropped Teleflora...
Teleflora will have no way to bill and collect from them, so they will not pay you.

There was one such shop I always called orders to that this happened to. I, of course, was no longer teleflora so he offered to bill me minus the % I wouldn't have had to pay with teleflora. I couldn't pay it all at once, but he was more than happy to make arrangements to pay it out. It was his money and it would have been rude for me to say "too bad!".

Hardly ... sending shop gets to keep 100% of the order & service fees, if the filling shop doesn't fulfill their duty in reporting the order.

As has been discussed here before, there are large volume senders who phone out the majority of their orders because they know 20% or more will never be reported.

Oh Yeah, I forgot about that.
 
Supposedly this is why National Flora would never get on Dove.

They knew how to work that system - I *heard* they also charged sales tax and kept it. (located in Oregon - no sales tax)
